Multi Job Card to one Invoice

The Multi Job Card to Invoice feature allows you to combine multiple completed job cards for a single client into one consolidated invoice. This saves time and ensures clear, professional billing.

🧾 Multi Job Card to Invoice – Step-by-Step Guide


🔧 Before You Begin

Before using this feature, ensure the lead you’re working on is set up as a Multi Job Card Lead.

To enable this setting:

  1. Go to the Lead Information page.

  2. Click the Edit button.

  3. Scroll to the bottom and find the option “Multi Job Card Lead.”

  4. Set this option to Yes.

  5. Click Save to confirm your changes.


🧩 Invoice Grouping Options

When creating a multi-job card invoice, you can choose one of three grouping options:

  1. Manual Selection

    • Choose specific job cards to include in the invoice, regardless of date.

    • Ideal when you want full flexibility in grouping.

  2. Last Invoiced

    • Automatically includes all job cards created since the last invoice.

    • Example: If your last invoice was in June, this will include all job cards created from July onwards.

  3. Date Range

    • Select a specific start and end date to include job cards completed within that range.

    • Useful for monthly or cycle-based invoicing (e.g., 1st to 30th of the month).


⚙️ Option 1: Build the Invoice Framework First

Use this option if you prefer to create the invoice structure before generating job cards.

Steps:

  1. Go to the relevant Lead.

  2. Click Create Multi Job Card Invoice.

  3. Select Manual (or your preferred grouping option).

  4. Click Save — this creates the invoice framework.

You can now begin adding job cards as normal:

  1. Go to the Schedule Module and open the Multi JC Invoice tab.

  2. Click Create Job Card — a new blank job card will be added under the framework.

  3. Open the job card to:

    • Add items,

    • Schedule technicians, and

    • Complete work as usual.

As work progresses, all job cards linked to this lead will appear under the invoice framework.

To review progress:

  • Go to Schedule → Multi JC Invoices.

  • Search for your client (e.g., Suzanne Steyn).

  • You’ll see the pending invoice, number of linked job cards, and the total amount.

To finalize:

  1. Click Edit to view details.

  2. Scroll down to view all linked job cards.

  3. Click View to preview the combined tax invoice.

  4. If satisfied, click Finalize Multi Job Card Invoice.

A success message will confirm that the invoice has been finalized. You’ll now see additional options such as:

  • View

  • Print

  • Credit Note

  • Unfinalize

If the invoice is sent via the system, clients can click the linked job cards directly to view the related work.


⚙️ Option 2: Link Job Cards Later

Use this option if you’ve already completed the job cards and only want to combine them at the invoicing stage.

Steps:

  1. Open the relevant Lead (e.g., Springfield Wine Estate).

    • You can access it by clicking Process from the leads list, or

    • Search under Leads → My Leads and select the client.

  2. On the Lead Information page, click Create Multi JC Invoice.

  3. Choose Manual and click Save.

    • A success message will confirm the invoice setup.

  4. Scroll to the bottom of the page.

  5. Use the dropdown to select all completed job cards you want to include.

  6. Once all job cards are added, click View to preview the final invoice.

  7. Review all details and click Finalize Multi Job Card Invoice when ready.


✉️ Sending the Invoice to the Client

  1. Scroll to the bottom of the invoice page.

  2. Click the Send (grey) button.

  3. Confirm by clicking OK.

Your combined invoice — containing all linked job cards — will be emailed directly to your client.


✅ Summary

  • Manual Selection → Full flexibility.

  • Last Invoiced → Automatically groups since the last billing.

  • Date Range → Aligns with specific time periods.

  • Option 1 → Build framework first, add job cards later.

  • Option 2 → Complete job cards first, link them at invoicing.

This feature helps streamline invoicing for clients with recurring or grouped jobs, improving both accuracy and efficiency.
